have microsoft office 365 business premium, have loads of microsoft apps/softwares , services @ disposal.
if higher version of subscription or additional services/softwares needed (paid or free), not problem if allow create dynamic workflow.

background
run professional photography business , sell physical products. order raw resources such frames, albums, glass, paper, ink, computers, , on various distributors. operate on appointment, people need call/mail month in advance book photography session.

either while booking that, or when meet @ appointment, book 1 week(s) later. that's when come view , pick images. when leave, start process order editing photos, ordering album/frames etc, printing, assembling , on.

we create invoice (3rd party accounting service) when customer comes pick , pay or when ship it.
ask every customer permission use images various things. doing so, have them fill php form sends details 3 mails; theirs (a copy), , 1 printer prints automatically. sign printed version , store in book.

desired workflow
right eveything split up. type in same customer multiple places, agreement using images, appointment, contact, in 2 separate progress trackers , in invoice service.
invoice service won't able with, want @ least eliminate other work as possible.
